Odoo is only as good as the accounting running inside it.
Odoo is a powerful system. But it was almost certainly implemented for operations, sales, or inventory — and accounting was added afterwards. The result, for most businesses, is a gap between what Odoo could tell you and what it actually does.
01
Month-end is always late
"Reports from last month? Still working on it." The close takes two to three weeks instead of nine days, which means the business is always making decisions based on last month's numbers at best.
02
Your bookkeeper exports everythinge
"Let me just pull that into a spreadsheet."
If your bookkeeper is regularly exporting Odoo data to process it elsewhere, the audit trail breaks, the data duplicates, and Odoo stops being the source of truth.
03
BAS prep is a quarterly scramble
"We need to check the tax codes again."
BAS preparation shouldn't be a research project. If it is, the GST mapping in Odoo isn't set up correctly — and every quarter you're paying for that setup failure.
04
You're not sure if the numbers are right
"I think that's correct, but I'd want to double-check." A healthy Odoo accounting setup gives you confidence in the numbers. If you're hedging every time someone asks about the P&L, something is wrong.
05
Your chart of accounts is a mystery
"IT set it up during the implementation."
The chart of accounts is the foundation of your financial reporting. If it was configured by a developer who doesn't understand accounting, every report it produces is suspect.
06
There's no second pair of eyes
"It's just me doing the books."
One person doing month-end close, BAS prep, and reporting with no review is a single point of failure. Not because they're not good — because no one catches what they miss.

Here is what running Odoo with WAO BookSmart actually looks like.
We replace the usual accounting guesswork with speed, accuracy, and total transparency.
WITHOUT WAO BOOKSMART |
Month-end close takes 2–3 weeks. Reports arrive late, |
Your bookkeeper exports data to Excel to process it. Odoo is just a storage system. |
BAS prep is a manual reconciliation exercise every quarter. |
You check the numbers yourself before trusting them. |
You email your bookkeeper and wait. Sometimes twice. |
Unclear what's included in your monthly fee. Ad hoc charges appear without warning. |
WITH WAO BOOKSMART |
Reports delivered within 9 business days of month-end. Every month, without chasing. |
Every transaction processed natively inside Odoo. The audit trail is complete and intact. |
BAS preparation is a byproduct of clean monthly bookkeeping. No quarterly scramble. |
Two accountants have reviewed the close before the report reaches you. |
All queries acknowledged within 4 business hours. Corrections issued if required. |
Fixed monthly scope. All out-of-scope work quoted in writing before it starts. No surprises. |
A B E T T E R W A Y T O W O R K
Every month. No guessing about what is covered.
Scope ambiguity is the number one cause of billing disputes in bookkeeping. Here is exactly what your retainer covers — and what falls outside it, and how that work gets handled.
Included in Every Retainer
Every month. No exceptions.
Accounts Receivable: all customer invoice processing, credit note matching, AR aging report.
Accounts Payable: all supplier invoice coding, PO matching, payment run preparation (you approve before payment).
Bank reconciliation: all bank and credit card accounts reconciled to zero unreconciled items.
BAS preparation: GST coding review, BAS workpapers prepared and handed to you or your BAS agent for lodgement.
Month-end journals: accruals, prepayments, depreciation run.
Management report package: P&L, Balance Sheet, AR Aging, AP list, Bank Rec summary, narrative commentary.
Dual review: every close reviewed by a second accountant before delivery.
Client portal access: task checklist, document upload, report archive.
Query resolution: all queries acknowledged within 4 business hours.
Period lock and workpaper archive.
Handled Separately
Quoted in writing before work begins.
Some situations require work outside the standard monthly close. These are not hidden extras — they are separate, quoted engagements you approve before work begins:
Investigating pre-existing balance sheet errors or historical data integrity issues.
BAS variance reconciliation (comparing lodged BAS to actuals after the fact).
Clearing account corrections from before your WAO engagement started.
Inventory valuation versus balance sheet variances (particularly in Odoo v18 and earlier).
COGS or cost accounting anomaly investigations.
Payroll compliance reviews or STP reconciliation.
Preparation of special-purpose reports outside the standard package.
Our billing rule:
We charge to fix the problem — not to find out it was a shadow. If we investigate and conclude the system is functioning correctly, that investigation time is absorbed by WAO and not billed to you. Quoted work of this kind is billed at $65–$220/hr depending on seniority (Junior Bookkeeper through Senior CPA) — always agreed in writing before work begins.

Three tiers, based on transaction volume.
Pick the one that fits.
Our pricing is based on the volume of transactions processed each month — not your revenue, not the complexity we decide to assign after the fact. You know exactly what you will pay before you sign anything.

If your transaction volume moves consistently above your tier over two consecutive months, we will contact you to discuss an adjustment. You will never be billed at a higher rate without agreement first.
All prices exclude GST. Pricing reviewed annually. Existing clients are given 60 days notice of any price change.
O U R G U A R A N T E E
We put our fee on the line. Not just our reputation.
Most firms just promise quality. We back it up with hard deadlines, financial credits, and a strict no-lock-in policy.
No lock-in: Cancel with 30 days written notice at any time. We prepare a final close for the current month and hand over all workpapers in an organised format. You leave with everything you came in with, plus a properly closed set of books.
We fix our own errors
If we find an error in a report we have delivered, we correct it and re-issue at no additional cost. We do not charge for our own mistakes.
4-hour query response
If any client query is not acknowledged within 4 business hours on a business day, it is flagged internally as a service failure. Repeat failures trigger a direct call from a senior team member.
9-day delivery guarantee
If your management report package is not delivered within 9 business days of month-end, you receive a 10% credit on that month's fee. Automatically. Without having to ask.

The questions clients ask before they sign.
We know choosing a new financial partner is a big decision. Here are the honest, straightforward answers to the most common reservations we hear from business owners.
We will assess the state of your Odoo accounting during onboarding. If there is significant remediation needed — historical errors, clearing account backlogs, or data integrity issues — we will scope and quote that work separately before we begin. You will know the full picture, and the cost, before you commit to anything. We have seen every variety of messy Odoo setup. We do not judge it.
WAO BookSmart is built exclusively for Odoo. Every bookkeeper on your account works only in Odoo — not across Xero, MYOB, and Odoo simultaneously. We support Odoo versions 16 and above, including versions 17, 18, and 19. We do not take on clients using other accounting platforms.
We work via a dedicated WAO service account — not admin access. We can see and process your accounting data. We cannot change system settings, install modules, or access areas outside the accounting module without your explicit approval. Access is reviewed quarterly and any unused accounts are revoked
You would change if your current bookkeeper does not work natively in Odoo, if month-end closes are consistently late, if you are uncertain whether the numbers are right, or if you have no second review of the work. If your current setup is working well, a Finance Health Check will confirm that — and we will tell you honestly if it does.
Cancel with 30 days written notice. We complete the current month's close, hand over all workpapers in a structured format, and remove our access from your Odoo. There are no exit fees, no data held hostage, and no hard feelings. We would rather you leave with clean books and a good experience than stay unhappily.
You will have a dedicated senior bookkeeper assigned to your account. They will know your business, your chart of accounts, and your reporting preferences. In the event of leave or absence, a trained backup covers the close — the process is documented so the quality does not depend on one person being available.
WAO prepares your BAS — we calculate the GST liability, check the coding, and prepare the workpapers. Lodgement is handled by you or your registered BAS agent. We do not hold a BAS agent registration. If you need a BAS agent, we can refer you to one in our network.
Your service agreement specifies your tier, your monthly scope, and the exact deliverables you receive. Any work outside that scope is quoted in writing and requires your approval before we start. We use the same rule internally as externally: no surprises.
